Optometry Clinic Coordinator (Reception & Administration)

Illume Eye Care | Ponsonby, Auckland | Full or Part-Time

We’re looking for a highly organised, people-focused Clinic Coordinator to join our team at Illume Eye Care, a modern, service-led optometry clinic in Ponsonby.

This is a full-time role (or part-time 4 days per week) where you’ll play a central role in both the patient experience and clinical coordination of the practice. You’ll work closely with our optometrists and optical assistant to ensure the clinic runs smoothly, patients feel genuinely cared for, and communication with referring providers is seamless.

This role is ideal for someone who enjoys responsibility, is proactive & adaptable, and takes pride in delivering a high standard of care and organisation.

About the Role

This is a dynamic position combining front-of-house excellence, clinical administration, and operational support.

You’ll be the key link between patients, clinicians, and external providers, helping ensure every part of the patient journey is smooth, thoughtful, and well-coordinated.

What You’ll Be Doing

  • Providing a warm, professional welcome and creating a calm, organised front-of-house experience

  • Managing appointments and optimising the clinic diary for flow and efficiency

  • Coordinating inbound and outbound referrals, including preparing and sending clinical reports

  • Liaising with optometrists, ophthalmologists, GPs, and other healthcare providers to support continuity of care

  • Responding to patient enquiries across phone, email, and online platforms

  • Supporting retail sales (dry eye care products, contact lenses, dry eye treatments, supplements, cosmetics)

  • Processing payments and managing transactions

  • Maintaining accurate and up-to-date patient records in our clinical systems

  • Managing stock, ordering, and inventory for both clinical and retail products

  • Supporting the optometry team with day-to-day administrative and operational tasks

  • Assisting with online orders and e-commerce fulfilment

  • (Optional) Supporting marketing and social media initiatives

What We’re Looking For

  • Previous experience in a healthcare, optometry, medical administration, or high-end customer service environment

  • Strong organisational skills with the ability to manage multiple priorities and workflows

  • Excellent written and verbal communication skills

  • Confidence coordinating referrals, reports, and professional communication

  • High attention to detail and accuracy in administrative tasks

  • Comfortable using digital systems and learning new software

  • A proactive, solutions-focused mindset
