Native Tech is DNA's education arm and a Category 2 NZQA-registered Private Training Establishment . Native Tech delivers face-to-face foundation programmes for school leavers and rangatahi across the Bay of Plenty. Our programmes blend literacy, numeracy, life skills, digital tech, Dungeons & Dragons, coding, gaming and creative media.
We are looking for a dependable, organised and people-focused team member who understands the importance of creating a welcoming, safe and professional environment for rangatahi, whānau, staff and visitors. This role suits someone who enjoys being at the centre of a busy kaupapa-driven organisation, can keep things running smoothly (detail-oriented and likes lists), and is excited to support a creative, tech-focused team making a real difference for young people.
As the Receptionist with light admin duties for DNA and Native Tech, you will be the first point of contact, ensuring smooth communication and supporting daily administrative operations. Reporting to the Campus Manager, you’ll be responsible for managing correspondence, assisting with scheduling and events, handling visitor inquiries, supporting enrolment, and helping maintain a safe, clean, and professional environment.
Communication Management: Oversee and manage day-to-day communications, including emails, Facebook messages, phone calls, social media inquiries, and other correspondence. Ensure all messages are responded to in a timely, professional, and accurate manner, and that information is passed on to the appropriate team members when required.
Social Media & Content Creation: Support the creation, scheduling, and posting of social media content across platforms such as Facebook and Instagram, create content with Canva and Claude. Assist with promoting programmes, events, student achievements, notices, and general updates for DNA and Native Tech. Help ensure online content is engaging, accurate, and aligned with the organisation’s values and brand.
Scheduling & Meetings: Manage daily calendars, coordinate meetings, book appointments, and support the smooth running of staff, student, and external meetings. Prepare the boardroom and meeting spaces for appointments, including setting up refreshments, equipment, resources, and ensuring rooms are clean and ready for use.
Visitor Management: Greet visitors, students, contractors, and stakeholders in a welcoming and professional manner. Manage inbound calls, respond to general inquiries about DNA and Native Tech, direct visitors to the appropriate person or area, and ensure all visitors follow sign-in procedures.
Site & Maintenance Checks: Conduct daily site checks to identify maintenance, safety, or cleanliness issues. Report and follow up on any repairs or hazards as required. Support light housekeeping duties, including keeping the reception, boardroom, kitchen, shared spaces, and public areas tidy, presentable, and well-stocked and watering plants.
Opening & Closing Procedures: Assist with opening and closing the building each day, including checking rooms and common areas, ensuring equipment and lights are switched off, securing doors and windows, setting alarms where required, and making sure the site is safe and ready for the next day.
Inventory, Stocktakes & Supplies: Monitor office, kitchen, classroom, event, and general supplies. Carry out regular stocktakes, update inventory records, identify items that need replenishing, and support ordering processes to ensure the organisation has the resources needed for daily operations and events.
Administrative Support: Provide general administrative support including filing, data entry, document preparation, scanning, printing, student enrolment support, and maintaining accurate records. Assist with staff and contractor vetting processes, ensuring required documentation is collected, recorded, and followed up appropriately.
Student Recruitment Support: Support student recruitment activities by assisting with inquiries from prospective students, providing information about programmes, enrolment processes, and key dates. Help prepare and distribute recruitment materials, support follow-up communications, maintain accurate records of prospective student interactions, and assist with recruitment events, open days, information sessions, and community outreach activities. Work alongside the team to help promote DNA and Native Tech programmes and encourage student engagement from inquiry through to enrolment.
Student Attendance & Notices: Support the tracking and recording of student attendance, follow up on attendance information where required, and assist with preparing and distributing student notices, reminders, updates, and communications. Help ensure students receive timely information about classes, events, deadlines, and organisational updates.
Event Coordination: Support the planning, organisation, and delivery of events, workshops, meetings, student activities, and community initiatives. Assist with invitations, RSVPs, event setup and pack-down, equipment, catering, attendance monitoring, stock preparation, and general event logistics to ensure events run smoothly.
Security Procedures: Monitor building entry and support site security by ensuring visitors, students, contractors, and external parties follow sign-in and access protocols. Maintain awareness of who is on site, report any concerns, and help ensure the building remains safe, secure, and welcoming.
